🧠 Background

FlavorWiki is a consumer research platform that helps food and beverage brands gather taste and product feedback from remote testers worldwide. As part of their process, testers are paid for completing surveys. But internally, payments were tracked manually using spreadsheets. I was tasked with redesigning this system into a more scalable, automated web app for the admin team.


πŸ” Problem with the Previous Version

  • Admins had no way of knowing when new payment entries came in

  • Payments were tracked manually in Google Sheets

  • High risk of errors, duplicates, and delays


πŸ›  What I Did

  • I had countless of calls with the team mainly with the Payment team to find out their struggles while making payment process and what are the things that could make their payment process smoother.


  • I redesigned the entire system from scratch into a web app. The goal: streamline admin workflows and reduce manual handling. I focused on automation, clarity, and real-time visibility.

Before vs After

Before: Static spreadsheets, no real-time updates, manual checks

After:

  • Automated tracking of all new payment entries

  • Clear payment status labels (New, Unpaid, In Process, Paid)

  • Filters by project, product, country, and method

  • Real-time updates with no manual downloads

  • Reduced admin time spent on tracking and payment process by more than 50%.

  • Fewer missed or duplicated payments

  • Faster payment cycles and improved team coordination


What i learned

This one of the early project that I worked on which has taught me how impactful even "invisible" UX work can be. And by streamlining the backend workflows could have a huge impact on the team’s efficiency.
